Preparing Freight for Truckload Pickup: A Shipper's Checklist

A smooth pickup starts before the truck arrives. Simple steps shippers can take to keep loads moving and freight protected.

Most delays at the dock come from small details: missing paperwork, unclear appointment times or freight that is not ready. A little preparation helps your shipment leave on time and arrive in the same condition it left.

Share the details up front

  • Pickup and delivery addresses, appointment times and facility hours
  • Commodity, piece or pallet count and total weight
  • Any special handling or loading requirements
  • A reliable contact at both the shipping and receiving locations

Have the freight ready

Stage freight before the appointment when possible. Pallets should be stable, wrapped and labeled, with weight distributed so the trailer can be loaded evenly.

Paperwork and sealing

Have the bill of lading prepared and accurate. If the load will be sealed, record the seal number on the paperwork so the receiver can verify it on arrival.

Communicate changes early

If a pickup time, address or load detail changes, let your carrier know as soon as possible. Early notice gives everyone the best chance to adjust without missing the delivery.
